    2017 ARTS/MERCHANDISE VENDOR INFO

    VENDING LOCATIONS

    Vending spaces are offered at WolfHowl Music & Art Festival at three different locations: Symposium Market,Trogo, & Campground. Each is explained below.

    WOLF HOWL MARKET

    The Symposium ( International Food Festival ) area  opens Thursday, August 17th at 11:00 a.m. and remains open 24 hours a day until Sunday night, August 20th.

    Although individual booth open hours are required as listed above, because of the extensive schedule of music and activities in Agape, many vendors choose to remain open 24 hours.

    MAIN VENUE

    There are a limited number of vending spaces available in the Main Venue (Agape) , which is where the main stage of the festival is located.

    CAMPGROUND

    Craft vending in the campground is integrated into one of the service pods. The vending location is strategically located to maximize traffic from those who are camping farther away from the main festival venue. The campground will be open from Thursday morning until Monday morning, 24 hours a day.

    ARTS/ MERCHANDISE VENDING FEE

    ART/MERCHANDISE

    To be considered an artist/crafter, vendors must make their products with their own hands. We are particularly interested in unique crafts. Can you demonstrate your craft on site (either the making of it or the use of it)? Let us know!

    MARKET BOOTH

    The fee for an artist/crafter space is $1,200.00 for the duration of the festival. The fee includes a 10 x 10 space, a heavy-duty metal-frame plastic-coated canvas tent and basic electric service. It also includes three vendor staff credentials that can access Vendor Camping. Additional vendor tickets must be purchased.

    MAIN VENUE BOOTH

    The fee for an artist/crafter space is $800.00 for the duration of the festival. The fee includes a 10 x 10 space, a heavy-duty metal-frame, plastic coated-canvas tent and basic electric service. It also includes two vendor staff credentials that can access Vendor Camping. Additional vendor tickets must be purchased.

    CAMPGROUND BOOTH

    The fee for an artist/ crafter space is $1,000.00 for the duration of the festival. It includes a 10 x 10 space for vending, space to park and camp behind the booth, and two vendor staff credentials. Power is not included.

    VENDOR

    Vendors sell merchandise that they do not personally make by hand.

    MARKET BOOTH

    The fee for a vendor space is $2,700.00 for the duration of the festival. The fee includes a 10 x 10 space, a heavy-duty metal-frame, plastic-coated canvas tent and basic electric service. It also includes four vendor staff credentials that can access Vendor Camping. Additional vendor tickets must be purchased. The opportunity to purchase more than one 10×10 space will be given to select vendors.

    MAIN VENUE BOOTH

    The Main Venue will be open from approximately noon until midnight Friday, Saturday and Sunday.  The fee for a vendor space is $1,700.00 for the duration of the festival. The fee includes a 10 x 10 space, a heavy-duty metal-frame, plastic-coated canvas tent and basic electric service. It also includes three vendor staff credentials that can access Vendor Camping. Additional vendor tickets must be purchased.

    CAMPGROUND BOOTH

    The fee for a vendor space is $2,050.00 for the duration of the festival. It includes a 10 x 10 space for vending, space to park and camp behind the booth, and two vendor staff credentials. Power is not included.

    VEHICLES

    The Agura Market is an artistically-designed flowing area is Agape featuring many fine artists. In order to preserve the condition of the walking paths, vehicles will not be permitted to drive on any of the grass. When you arrive you will be directed to the closest road access. There will be trailers available to help you transport your wares, but you should come prepared with a hand truck or wagon with wide rubber tires. Camping is not permitted at your booth.

    After initial set up in Agape the Main Venue, all vehicles must be moved to Vendor Camping. For those who need to restock each day, arrangements can be made with one of the Market Coordinators. No vehicles (including golf carts) will be allowed in Agape unless you have received prior written permission from Mstar team.
    In the campground, each booth will be able to have one vehicle parked directly behind their booth.

    VENDOR CAMPING

    There is an area designated for vendor camping. If you or your staff has special needs, please note that in the application form.
    For vendors located in the campground, there will be a camping area directly behind each booth for a limited number of people.

    PAPERWORK

    Each vendor will be required to have a certificate of liability insurance, proof of Workers Compensation coverage, a California sales tax certificate, a Solano County  Business License and a Solano County Land Use Permit. Those vendors accepted to the festival will receive an outline of the necessary paperwork with your acceptance letter. Participation in WolfHowl Music & Art Festival does not guarantee a space and it base on first come first serves.

    WolfHowl Art & Merchandise Application

    Applications must be received by Friday June 11, 2016 to be included in the initial review and acceptance process. Applications will continue to be accepted after March 11 until all spaces are filled.

    Our primary method of communication is via e-mail. If you have any questions, please include them with your application. All proposals will be reviewed, and an email will be sent to you indicating whether or not you have been accepted.

    2016 FOOD VENDOR INFOMATION

    FOOD VENDING INFO

    BOOTH SPACES AND PRICES

    We are accepting applications for the following types of food vendors:

    Booths: a 10 x 10 space will be provided. Multiple spaces may be available. Power and water will be additional charges depending on individual vendor needs.

    Mobile unit spaces: self contained vehicles or trailers that provide their own power and water systems.

    Carts: may sell pre-packaged, non-perishable items or cooked items.

    There are vending spaces available inside the concert venues, in Agape and in the campgrounds. For Agape and the campgrounds, preference will be given to vendors that can provide breakfast, lunch, dinner and late night fare from Thursday morning until Monday morning. Since we are expecting a large crowd for the weekend, it is imperative that each vendor has the experience and ability to serve large numbers of people quickly for extremely long hours.

    The rent for each 10 x 10 space will be a $2,000.00 guaranteed flat fee or a percentage of gross sales, whichever is higher. All guarantees must be paid before the event. Percentages will be determined with each vendor individually. Percentage of gross sales will range from 25 percent to 35 percent depending on complexity of menu items. We require a $1000 deposit per booth payable upon acceptance in order to secure your spot. The balance of your guarantee, along with any fees due for power, water, trash deposit, tent rental and premium space fees must be paid in full in advance of arrival at the festival. All rent must be paid by the end of the event.

    For some vendor rows the festival will provide artistic headers above the booths. These booths will be charged an additional fee for the premium space.

    FOOD AND BEVERAGE ITEMS

    In addition to traditional festival fare, we would like to have a diverse array of interesting food items available, all at reasonable prices. Please consider your pricing carefully and try to keep your prices to under $10 for any single item as well as including some lower priced items.  Many people will prefer vegetarian options, so we encourage you to be creative in your menu offerings. Vendors may apply to sell homemade (nothing from concentrate or powder) beverages, but all pre-packaged beverages and bottled water must be purchased on site through our distribution system. Along with all foods choices, any specialty beverages sold must be pre-approved by the festival or it will not be allowed.

    VENDOR CONTRIBUTION TO FESTIVAL GREENING

    A festival as large as WolfHowl Music & Art Festival® can produce a lot of trash. We are very committed to reducing the amount of trash that is sent to the landfill and have been developing an extensive recycling and composting program. All vendors will be required to purchase compostable/recyclable WolfHowl paper products and cups. A complete list of what is available and the pricing will be sent with your confirmation letter if you are accepted.

    As part of our commitment to the environment we encourage vendors to buy products locally and organically where possible. We will be sending out a list of local companies and farmers that may be able to meet your needs. Not only will you be supporting the reduction of carbon dioxide emissions and reduction of fuel consumption, your food will look and taste great!

    FESTIVAL DATES AND FOOD VENDING HOURS

    All vendors must arrive on site on Tuesday the week of the festival depending on location. Main Venue vendors will be open Friday, Saturday and Sunday only. Because of the extensive schedule of music and activities, Symposium and campground vendors could be expected to be open for 14 – 20 hours Thursday through early Monday morning. Many vendors choose to remain open 24 hours.  Hours of operation must be approved before the festival begins.
